Receipt Bank and QuickBooks: eight easy ways to make your life easier

I have been using QuickBooks for bookkeeping and accounts for various clients for some time and I have come to appreciate the benefits of different elements of the package.

It's led me to compile a list of the ways a business like yours could save time and money by using QuickBooks alongside a third-party app called Receipt Bank, which is also compatible with other cloud accounting software such as Xero and Sage.

  • Control all aspects of your business finances with one piece of software, so no switching between programs for payroll, accounts, invoicing, online banking etc. And no backing up at the end of each day as it's all stored in the cloud!
  • Reduce storage costs – and the time you spend searching for bits of paperwork – with electronic storage of invoices and receipts.
  • Use Receipt Bank to scan a receipt for instant upload to accounting software such as QuickBooks as soon as you've made a purchase – minimising the possibility of lost paperwork.
  • Benefit from a bank account feed – no need to manually post transactions or scan bank statements for upload.
  • Establish rules so QuickBooks recognises transactions. Once you've set them up, the program remembers each time what to do with the transaction.
  • Allow the 'invoice fetch' function in Receipt Bank to automatically grab invoices from some of your online accounts with suppliers.
  • Activate the 'Auto-publish' feature on Receipt Bank for suppliers from whom you regularly buy the same items. This will reduce the time you would spend reviewing these invoices before publishing to QuickBooks.
